Kids birthday party planning checklist
Enter the party date and how many children are invited. Each task shows the day it should be done by, and plates, cups, party bags and food are counted for your numbers. The counts are planning estimates, not exact needs.

Tips for a children's party
- The dates on the list count back from the party date you enter. If you start late, do the overdue tasks in order: date and venue first, invitations second, everything else can wait a few days.
- Count on some children not coming and one or two extra turning up. The list adds a couple of spare party bags and plates for that reason; it does not try to predict your turnout.
- Food for young children goes further than you expect. Small portions on the table and a second round held back in the kitchen wastes less than everything out at once.
- Write the running order on paper and tape it where your helpers can see it. Other adults will step in if they know what comes next.
- Quantities here are planning estimates worked out from the number of children. Adjust them if many parents stay or if siblings are coming.
Questions
How far ahead should I start planning a child's birthday party?
This list starts six weeks before, which leaves time to book a venue or entertainer and to send invitations four weeks ahead. A party at home with no bookings can start later: enter your date and work from the first task that is not yet overdue.
How many plates and cups do I need?
The list counts two plates and two cups for each child invited, plus four spare, because one plate is for food and one for cake and cups get lost. Change the number of children and the counts follow.
How many children should we invite?
There is no correct number. Pick what the space, your budget and the adults helping can handle, and enter it; the list works from four to forty children.
What changes when I pick a hired venue?
The home tasks (clearing a room, borrowing chairs, telling neighbours) disappear, and booking, confirming numbers and packing a box to take with you appear instead.
